Client Relations Coordinator

About the role

The Client Relations Coordinator will support the Client Relations Management team by handling initial client communications, qualifying leads and assisting throughout the deal‑closing process. This role is pivotal in ensuring high‑quality service for luxury and high‑net‑worth clientele.

Key responsibilities

• Manage all initial communication with clients across email, calls, chat and other channels.
• Build and maintain comprehensive client profiles in the CRM system.
• Qualify inbound leads, assess client background, preferences and requirements.
• Assign high‑value leads to Client Relations Directors.
• Support the team during all stages of the deal‑closing process.
• Ensure accurate data entry and tracking within the CRM.
• Monitor lead sources to provide marketing insights.
• Prepare documents, research, and PAC (Pricing and Availability Check) templates.
• Contact property owners/managers to confirm availability, pricing and terms.
• Create and submit proposals for review and approval.
• Perform other tasks as assigned by the Client Relations Director – Operations.

Required profile

• Minimum 3 years of experience in hotel, travel, concierge or executive support.
• Bachelor’s degree (minimum).
• Excellent verbal and written English communication skills.
• Ability to multitask and meet deadlines.
• Strong customer‑service orientation and teamwork mindset.

Required skills

• Proficiency with CRM systems.
• Strong knowledge of Google Suite.
