Patient Concierge Coordinator

About the role

The Patient Concierge Coordinator supports participants in clinical trials by coordinating travel logistics or processing reimbursements, ensuring a smooth and compliant experience. Working closely with patients, sites, vendors and internal teams, the role upholds confidentiality and adherence to Good Clinical Practice.

Key responsibilities

• Manage travel arrangements (flight, train, accommodation, ground transport) using approved systems and providers.
• Review and verify patient reimbursement requests, approve or escalate according to study policies.
• Serve as primary point of contact for patient inquiries via app, email or phone, providing timely and compassionate responses.
• Set up new projects by creating mailboxes, portal access, SharePoint folders and preparing study documentation.
• Maintain accurate patient records, visit logs and service documentation in real time.
• Participate in client meetings, site initiation visits and investigator meetings when requested.

Required profile

• Strong attention to detail and ability to follow study‑specific policies.
• Excellent communication skills with patients, caregivers and internal stakeholders.
• Knowledge of Good Clinical Practice, data protection regulations and SOP compliance.
