Front Office Administrator

About the role

We are seeking a Front Office Administrator to be the operational backbone of our clinic in Novi Sad. You will ensure smooth patient scheduling, maintain accurate records, and provide essential administrative support to the clinical team in a hybrid, full‑time environment.

Key responsibilities

• Manage patient appointment scheduling, rescheduling and reminders to minimise no‑shows and optimise clinic flow.
• Maintain up‑to‑date records, files and documentation, including referral coordination and updates to EHR/EMR systems.
• Support billing and revenue‑cycle processes by verifying patient and insurance information for claims.
• Order and organise supplies and liaise with facility management for operational or maintenance needs.
• Assist the Clinic Director and clinical staff with administrative tasks, reporting and staff schedule coordination.
• Facilitate patient onboarding, ensuring all documentation and authorisations are complete before treatment.

Required profile

• Highly organised, self‑directed with strong attention to detail.
• Excellent interpersonal and communication skills, able to build trust with patients and collaborate across teams.
• Ability to handle sensitive patient information in compliance with HIPAA and other regulations.
• Fluent in English; high school diploma or equivalent required.
• Two or more years of experience in medical office administration, preferably in cardiology or specialty outpatient care.

Required skills

• Proficiency with EHR/EMR systems and willingness to learn new scheduling software.
