VIP Travel Specialist

About the role

We are seeking a VIP Travel Specialist with a strong background in hotel operations to coordinate accommodation and travel logistics for fast‑moving production teams across multiple cities. The role blends hotel inventory management, group block coordination and ground transportation for talent, crew and creative staff on major music tours, film and TV productions.

Key responsibilities

• Source and secure hotel inventory, manage group room blocks and monitor cut‑off dates and reservation changes.
• Negotiate rates, concessions and upgrades directly with hotel sales and front‑office teams.
• Align hotel placements with production schedules and shoot locations, navigating high‑demand markets.
• Coordinate ground transportation, handle last‑minute adjustments and resolve logistical issues promptly.
• Maintain accurate documentation, billing records and ensure compliance with production timelines.

Required profile

• Supervisory or managerial experience in front office, guest services, reservations or hotel management.
• Proven ability to manage group reservations, handle guest escalations and work in fast‑paced, high‑demand environments.
• Bachelor’s degree required; experience supporting entertainment, production or VIP clients is preferred.
• Calm under pressure, highly organized, detail‑oriented and strong communicator.
