Workplace Support Assistant II

About the role

The Workplace Support Assistant II provides front‑of‑house and administrative support to ensure smooth daily operations of the Belgrade office. This role handles shipments, visitor management, office supplies, and employee engagement activities while delivering high‑quality customer service.

Key responsibilities

• Prepare, record and dispatch incoming and outgoing shipments, training others as needed.
• Welcome visitors, set up conference rooms, organize catering, and manage desk bookings.
• Order and monitor office supplies, maintaining appropriate stock levels.
• Implement visitor protocols, assign access badges, and manage incoming calls.
• Coordinate employee engagement events with local team members and leaders.
• Maintain office equipment and facilities, partnering with AV, copier and cleaning services.
• Support workplace moves, acting as host and security for vendors.
• Provide administrative assistance to office and remote employees, handling tickets, onboarding and off‑boarding.
• Arrange travel logistics, including itineraries, visas, ESTAs, taxis and restaurant bookings.

Required profile

• 2‑4 years of office or business support experience.
• Strong written and spoken English communication skills.
• Ability to prioritize multiple projects, work independently and make sound judgments.
• Professional, discreet handling of confidential matters.

Required skills

• Proficiency with Microsoft Outlook.
• Proficiency with Microsoft Word.
• Proficiency with Microsoft Excel.
• Comfortable using Internet browsers and office machinery (photocopier, scanner, shredder).
